Have a DATEV integration programmed

We program DATEV integrations that automatically hand bookings and documents from your shop, ERP or industry software to DATEV. Depending on the case, we use the DATEV format for import into DATEV Rechnungswesen (accounting) or the DATEV online APIs. Your tax advisor receives complete, checked data instead of manual exports.

The problem: preparing data for the tax advisor by hand

In many businesses the month-end close looks like this: someone downloads an export from the shop or ERP, rearranges columns in Excel, adds accounts and sends the file to the firm. Documents are also uploaded as PDFs or sent by email. The firm asks follow-up questions because credit notes are missing, tax rates do not fit or payments cannot be matched to an invoice.

This costs time on both sides, and errors creep in that only show up at the VAT return. On top of that, the person who knows the export is often just one individual. If they are out, accounting stalls.

How we hand data to DATEV

DATEV offers several routes. Which one fits depends on what your firm uses and which data is to be handed over.

  • DATEV format (EXTF)

Posting batches (Buchungsstapel) and master data as a CSV file in the DATEV format. The firm imports it through batch processing in DATEV Rechnungswesen. This route needs no approval from DATEV.

  • Documents to DATEV Unternehmen online

Through the online API "accounting:documents", invoices and cash receipts can be transferred directly into the "Belege online" (documents online) area, where the firm processes them further.

  • Other online APIs

For certain data services DATEV provides further interfaces. Using them requires registration in the DATEV developer portal and a paid onboarding package from DATEV, and DATEV checks the implementation technically.

How access to the online APIs works is described in the guide DATEV API access. If a route needs an approval that is not certain to be granted, we say so in the check and plan with the file route.

What the integration does internally

The integration reads orders, invoices, credit notes and payments from the source system. From them it creates a posting batch with account, offsetting account, tax code, document number and posting text. We define the account assignment together with your firm, for example per tax rate, country or payment method. Before every handover the integration checks mandatory fields and totals. Inconsistent records are not silently skipped but end up in an error list with a reason.

Every transfer is logged. You see which documents are in which batch, and each document is transferred only once, even if a run has to be repeated.

  1. Outgoing invoice becomes posting record daily
  2. Credit note and cancellation become reversal entries daily
  3. Payment is matched to the invoice and posted daily
  4. Customer is handed over as a debtor account (Debitor) on creation
  5. Document image goes as PDF to Belege online on creation

When ready-made solutions are enough

Many shops and ERP systems have a DATEV export built in or offer one as an extension. If you have few transactions, use only one sales channel and your firm is happy with the export, you do not need a custom integration. Partner solutions on the DATEV marketplace also cover common programs.

A custom integration is worthwhile when the export has gaps: when payments from different providers must be matched, several shops or marketplaces come together, your firm expects a specific account assignment or the source system has no DATEV export at all. Then we build exactly the rules you are missing. The guide connector or custom helps you decide.

Matching connections

For common combinations we have dedicated pages with data objects and the limits of standard solutions: Shopware and DATEV, Shopify and DATEV, JTL-Wawi and DATEV and Business Central and DATEV. What DATEV offers technically is summarized on the page DATEV.

Process

In the free check (30 minutes) we clarify the source system, the data scope and the route to DATEV. Your firm is welcome to join. Within 3 working days you receive a fixed-price quote. Implementation usually takes 2 to 4 weeks. Before go-live, your firm imports a test batch and approves the account assignment. Details are under process and pricing. Ongoing operation is described in operation and monitoring.

Frequently asked questions

Can the firm take over the data without rework?

That is the goal. That is why we agree the account assignment with the firm in advance and have a test batch imported. Cases that are not clear-cut end up in an error list instead of unchecked in the batch.

Are document images transferred, or only posting records?

Both are possible. We hand over posting records as a posting batch, and document images can go to DATEV Unternehmen online via the DATEV interface for documents. Which scope makes sense, we clarify with your firm.

Does the transfer run automatically or via export?

The integration generates the data automatically on a fixed schedule. With the file route the batch is ready and is imported by the firm. Documents sent through the online API arrive directly at DATEV.

Do I need access to the DATEV API?

Not for the file route. The online APIs require registration, a paid onboarding package and a technical review by DATEV. In the check we tell you whether the effort is in proportion to the benefit.

How are payments from PayPal, Stripe or Klarna matched?

The integration reconciles payments via order or invoice number and posts fees separately. What that looks like in an individual case depends on which data the payment provider delivers.
