Connect Shopify to DATEV
For DATEV, Shopify merchants usually use an app. The Shopify App Store has several that turn orders and Shopify Payments payouts into a DATEV Buchungsstapel (posting batch). For many merchants, that is enough. A custom integration pays off with cash sales from Shopify POS, several payment providers with their own rules, or when your tax advisor wants individual customer accounts instead of a collective account.
Which data flows from Shopify to DATEV
- Order becomes a revenue posting by delivery country and tax rate daily
- Refund becomes a revenue reduction referencing the order daily
- Shopify Payments payout is split into individual payments, refunds and fees per payout
- PayPal and other payments are matched through the order's transaction ID daily
- Cash shift from Shopify POS becomes cash receipts, deposits or withdrawals and cash difference per shift close
- Customer becomes an individual or collective customer account, as your tax advisor specifies as needed
What already exists for Shopify and DATEV
The Shopify App Store lists several DATEV apps. As of 10/20/2026, each according to its provider:
- DATEV > Buchhaltungsexport Pro by pathway solutions: sales with refunds, discounts and shipping costs, payment matching, sales by delivery country for OSS, connection of Mollie, PayPal and Stripe. The app has the most reviews in the group.
- Klarbuchung by geckIT: splits Shopify Payments payouts into payments, refunds and fees and creates a DATEV batch, in higher plans with PayPal and bank matching. Released in October 2026.
- FibuPort Buchungsexport: splits payouts into gross, fee and reverse charge and creates EXTF batches for SKR03 and SKR04. Released in August 2026.
If your shop uses only Shopify Payments and PayPal and has no point of sale, test one of these apps first. Several offer a trial period.
Where the standard stops
Cash from Shopify POS
In the Shopify community, pathway wrote in May 2024 that cash movements could not yet be mapped until Shopify extends the interface. The app description does not say whether this works today. If in doubt, ask the provider. The Admin API now offers cash shifts with opening and closing balance, but according to the documentation only for locations with POS Pro.
Lump sums on the bank account
Shopify Payments pays out lump sums, minus fees. Without a split per order, your tax advisor cannot match the bank posting to an invoice.
Order number with a hash sign
The order name in Shopify contains a prefix and a hash sign, such as “#1001”, while the plain number is in a separate field. The hash sign is not allowed in DATEV document field 1, and the field holds at most 36 characters. The integration has to form a valid document number without losing the link to the order.
Customer accounts and OSS
The question of OSS-compliant postings and separate customer accounts comes up repeatedly in the Shopify community. Whether an app creates individual customer accounts or posts to a collective account is not stated in every description. Some firms want individual accounts for B2B customers.
Payment providers outside the list
Apps connect a fixed selection of payment providers. Purchase on invoice through a service provider, or bank transfer with matching against the bank account, often fall out.
How we build the integration
Shopify side: We work with the GraphQL Admin API. Shopify has treated the REST Admin API as legacy since October 2024, and new public apps have had to use GraphQL since April 2025. For your shop, we set up a dedicated app with exactly the permissions that are needed. Webhooks for paid orders and refunds are signed with HMAC. We read payouts through the Payout and Balance Transaction objects, which provide gross, fee and net per transaction. Cash shifts come through the cash tracking query with its own permission.
DATEV side: We create a posting batch (Buchungsstapel) in the EXTF format with tax keys per delivery country. Whether the batch goes to your tax advisor as a file or is transferred online depends on your DATEV order and approval. Background in the guide DATEV API access.
Control: Every payout must balance to the cent. If it does not, it is not exported but reported with the difference. The log shows for each order which batch it ended up in.
Process and price range
In the free integration check (30 minutes), we clarify payment providers, point of sale and your tax advisor's requirements. The fixed-price offer follows in 3 working days. For a connection between Shopify and DATEV, the entry price is €1,900 net, and point of sale and additional payment providers increase the scope. You can find the individual steps under Process and pricing.
Frequently asked questions
Do cash sales from Shopify POS reach DATEV?
Yes, if the location uses POS Pro. We then read cash receipts, deposits and withdrawals and the cash difference per shift, and post them to the cash account.
How is a Shopify Payments payout posted?
The payout is split into the payments, refunds and fees it contains. Each payment settles an order, the fee becomes an expense, and the net amount matches the credit on the bank account.
Is an app from the App Store enough?
Often yes, especially with Shopify Payments and PayPal without a point of sale. Check with a real month whether your tax advisor can accept the batch without rework.
How do sales to other EU countries get into the batch?
Each order gets the delivery country and the tax rate valid there. From that, we set revenue account and tax key as your tax advisor specifies them for the OSS procedure.
Does the data go through a third-party service?
No. The integration runs on a server in Germany, with a data processing agreement. The code belongs to you.
