Maintenance and monitoring: your integration in day-to-day operation
An integration is not finished at go-live. APIs change, access expires, systems are briefly unreachable. With the operation subscription we host your integration in Germany, monitor every run, report errors immediately and let you know in good time when a vendor changes something. From €149 a month, cancel monthly.
The problem: integrations fail silently
An integration that has stopped running makes no noise. Orders simply no longer arrive in the ERP, postings are missing from the batch for the tax advisor, invoices are not generated. Often it is noticed only after days, when a customer asks or accounting finds gaps. Then the search begins: since when is something missing, which records are affected, what has to be caught up?
The causes are usually unspectacular. A password was changed, an access key has expired, the vendor changed an address or a field, a server was unreachable overnight. Without monitoring, nobody notices.
Why changes come from outside
Vendors keep developing their systems and with them their APIs. Two examples from the providers' documentation:
New address
After renaming lexoffice, Lexware changed the address of its API on 26 May 2025. According to the documentation, the old address remained reachable only until December 2025.
Disabled webhooks
Shopify removes a webhook subscription if delivery fails persistently. Pipedrive deletes webhooks that could not be delivered for three days.
Request limits
Many APIs limit how many requests per second are allowed. For Lexware Office it is two, according to the documentation. Anyone above that gets errors.
Such changes are normal. What matters is that someone notices them in time and adapts the integration before data goes missing.
What the operation subscription covers
Hosting in Germany
By default your integration runs on our servers in Germany. We conclude a data processing agreement under the GDPR. If you prefer, it runs on your own server.
Monitoring
Every run is monitored: Did it start, was everything transferred, were there errors? Missing data is noticed as well, for example when no order has come in for hours.
Alerts
When an error occurs, we get a message immediately. You hear about it when you need to do something, such as renew access.
Notice of API changes
We follow the announcements of the vendors of your systems and tell you in good time when a change affects your integration. You receive a separate fixed-price quote for the adjustment.
Log
Every transferred record is traceable: what, when, with what result. Failed transactions are caught up once the cause is fixed.
Cancel monthly
You are not locked in. The code is yours, and you can take over operation yourself at any time.
How errors are handled
Not every error needs a person. If a system is briefly unreachable, the integration repeats the transaction itself after a wait. In doing so it makes sure nothing is transferred twice. Only if an error persists does an alert go out.
Errors in the data are handled differently. If a mandatory field is missing in an order, only that record is set aside, and all others carry on. The error list shows what is missing. After the correction, the record is caught up automatically.
- Run reports start, volume and result per run
- Temporary error leads to a retry automatic
- Persistent error triggers an alert immediately
- Missing data is detected on schedule
Access and security in operation
An integration needs credentials for your systems. We set up dedicated access for this, with only the permissions the task requires. The credentials are stored encrypted and not passed on to individuals. If access expires or is withdrawn, monitoring reports the error instead of data silently piling up. If someone leaves your company, the integration does not depend on their personal account.
Do you need the subscription?
Not necessarily. The code is yours, and you can run the integration on your own servers if you have an IT department or a provider who takes care of monitoring and updates. You receive the documentation in any case. With ready-made connectors and automation services, operation is usually included in the vendor's price. That is one of their advantages.
The subscription is worthwhile if you do not want to deal with servers and access yourself or keep track of vendor changes and an integration carries important processes, such as orders or accounting. The guide What does an integration cost? compares the total effort.
Price and process
Operation costs from €149 a month and can be cancelled monthly. The exact amount depends on how many systems and processes are monitored. It is already stated in the fixed-price quote for implementation, so you know the running costs beforehand. More under process and pricing and on the page Have an integration built.
Frequently asked questions
What happens if an integration stops working after an update?
With the subscription, monitoring notices the outage, we get an alert and look for the cause. If the integration has to be adapted to a changed API, you receive a fixed-price quote for it beforehand. Records that were not transferred in the meantime are caught up.
How quickly do you learn about an error?
A persistent error triggers an alert immediately. The integration first tries to fix temporary errors itself so that no false alarms occur.
Where does the integration run?
By default on our servers in Germany. We conclude a data processing agreement under the GDPR with you. If you prefer, it runs on your own server. We then set up monitoring and alerts there and agree the scope of operation with you individually.
Can I cancel the subscription and run the integration myself?
Yes. The subscription can be cancelled monthly. You receive code and documentation and can keep running the integration yourself or with another provider.
Do you also take over integrations that others built?
Yes, after a review. We look at the code, documentation and operation and tell you whether we would take over the integration as it is, rework it first or rebuild it. You receive a fixed-price quote for the chosen option.
