Connect Shopware to Business Central

Microsoft ships its own connector for Shopify with Business Central. We did not find a Shopware connector from Microsoft. For Shopware 6, there are third-party connectors in the Microsoft marketplace and in the Shopware Store. If one fits your pricing logic, use it. A custom integration pays off with B2B prices, variants with their own logic or fields that the standard API does not provide.

Which data flows between Shopware and Business Central

  1. Order becomes a sales order with line items, shipping costs and discounts within minutes
  2. New customer becomes a customer record, guest orders optionally a collective customer with the order
  3. Payment method and transaction become payment method and reference on the order with the order
  4. Items and item variants come from Business Central, texts and images from Shopware on change
  5. Sales prices and customer price groups become prices per customer group in the shop on change
  6. Stock per location becomes available stock in the shop every few minutes
  7. Delivery and invoice become shipping status, tracking number and invoice PDF in the customer account on posting

What already exists for Shopware and Business Central

The Microsoft AppSource marketplace offers, among others, the Shopware Connector from Tinx, which according to its description has a synchronization log and email notification on errors, and a Shopware 6 API connector from solutioo that brings items, properties and categories into the shop and orders into Business Central. In the Shopware Store, further providers offer connectors, some as a real-time connection in both directions. Agencies such as 2Hats Logic promote solutions with variants and stock from several warehouses.

For comparison: For Shopify, the Microsoft connector comes preinstalled in new Business Central environments. If you are undecided between the two shop systems, include this in your calculation.

Where the standard stops

  • The standard API cannot be extended

According to Microsoft, the Business Central APIs cannot be extended with additional fields. If you need custom fields, such as a shop attribute on the item, you have to write your own API in AL.

  • Webhooks expire after three days

Subscriptions for changes must be renewed before three days are up, each time with a handshake. By default, Business Central waits 30 seconds after the first change. With more than 1,000 changed records, only a collective notification arrives.

  • Throttling and runtime

With too many requests, Business Central responds with status 429, and a single request may run for ten minutes at most. An initial sync with many items therefore has to run in parts.

  • Prices for business customers

Prices per customer price group, quantity tiers and discounts are structured differently in Business Central than rules in Shopware. Check with real customer prices whether a connector maps this logic completely.

  • User permissions

When a delegated administrator changes data, Business Central does not send a notification right away, according to the documentation. The integration's technical user needs a suitable license and permissions.

How we build the integration

Business Central side: We use API v2.0 for orders, customers, items and variants. Where fields are missing, we write a small AL extension with its own API page. Like the rest of the code, it belongs to you and does not change the standard, which keeps Microsoft updates manageable. We subscribe to changes in items and stock via webhook. A service renews the subscriptions before they expire. Collective notifications trigger a filtered query by modification date.

Shopware side: We write prices and stock in bundles through the Sync API of the Admin API, and orders arrive through a signed webhook. We define the assignment of customer groups to customer price groups once and document it.

Operation: We retry responses with 429 with a growing pause. Orders that Business Central rejects, for example because of a blocked item, stay in the log with the reason and are sent again after the correction. More on shop-ERP integration.

Process and price range

In the free 30-minute integration check, we clarify data ownership, pricing logic and whether Business Central runs online or on-premises. A fixed-price offer follows in 3 working days. With prices, stock and orders in both directions, this is more than a simple connection. The range is described under Process and pricing.

Frequently asked questions

Is there an official Shopware connector from Microsoft?

We did not find one. Microsoft provides a connector for Shopify. For Shopware, there are third-party solutions or a custom integration.

Do we need an extension in Business Central?

Only if the standard API does not provide fields you need. In that case, we write our own API page in AL without changing the standard.

Are customer-specific prices transferred to the shop?

Yes. We transfer prices per customer price group and quantity tier and assign them to customer groups in Shopware.

Does this also work with Business Central on-premises?

Yes. On-premises, you can set the wait time and limits for webhooks yourself. Access from outside must be secured.

What happens if Business Central is briefly unavailable?

Orders stay in the queue and are transferred as soon as Business Central responds again. Nothing gets lost.
