Connect Shopware to DATEV

Shopware 6 usually hands invoices and credit notes to DATEV through a plugin from the Shopware Store. The plugin creates a Buchungsstapel (posting batch) in the DATEV format or uploads it through the DATEV Buchungsdatenservice. In many shops, that is enough. A custom integration pays off when PayPal and Klarna payments have to be matched, sales channels separated or special cases posted cleanly.

Which data flows from Shopware to DATEV

  1. Invoice becomes a posting from customer account to revenue account, with tax key daily
  2. Credit note and cancellation become a counter-posting referencing the invoice number daily
  3. Incoming payment from PayPal, Klarna or credit card becomes a posting from money in transit to customer account per statement
  4. Fees of the payment providers become a separate expense posting per statement
  5. Sales channel becomes a cost center or separate revenue area with every posting
  6. Invoice PDF becomes a document image for the posting daily

What already exists for Shopware and DATEV

The Shopware Store has several DATEV exports. According to its Store listing, the plugin “Export für DATEV” by IWV Digitalagentur exports invoices, credit notes and payments in the DATEV format, supports OSS and period locking, and offers add-on modules for scheduled exports and the Buchungsdatenservice. Status of the listing: version 1.7.21 for Shopware 6.7, updated on 10/13/2026. For Shopware 5 there is also “Export für DATEV powered by Pickware”, which according to its Store listing has been reviewed by DATEV. According to the Store, a version for Shopware 6 is not planned.

In the Shopware forum in 2023, the IWV plugin was recommended in answer to exactly this question. If you only want to give invoices and credit notes to your tax advisor, it often serves you well. Try the trial period with a real month before having anything built.

Where the standard stops

  • Payment matching with the providers

In the forum, a merchant with several thousand orders per month asked about matching between Shopware, PayPal and Klarna. The plugin descriptions mention exporting payments, but not matching against the providers' payout reports.

  • Only orders with an invoice document

If an export is based on invoice documents, the batch is missing every order for which Shopware has not yet created a document. Check this if your invoices are created later by hand or through a flow.

  • Document number in the DATEV format

The Belegfeld 1 (document field 1) accepts at most 36 characters. Spaces, periods and umlauts are not allowed. Number ranges with such characters have to be converted before the export.

  • Vouchers

Single-purpose and multi-purpose vouchers are treated differently for VAT. In Shopware, this is often just a discount in the order. For the posting, the integration has to know the voucher type.

  • Plugin compatibility with updates

Store plugins state a range of compatible Shopware versions for each version. After a Shopware update, the export works again only once the plugin catches up.

How we build the integration

Shopware side: We read through the Shopware Admin API with a dedicated integration and its own credentials. We fetch orders, documents and transactions in a targeted way using filters. For timely reactions, we use webhooks from Shopware's app system. Each message there is signed with HMAC, and we verify the signature. A nightly reconciliation picks up everything a webhook missed.

DATEV side: The target is a posting batch (Buchungsstapel) in the DATEV format (EXTF) with consultant and client number, fiscal year and your chart of accounts. We clarify in advance whether the file goes to the tax advisor or into the DATEV data center through the Buchungsdatenservice. For the online route, the application needs approval from DATEV, and the client must have ordered the service. More in the guide DATEV API access.

Operation: In the log, each invoice has a status: transferred, waiting, error. Using the document number as a key prevents duplicate handovers. Errors such as a missing account are collected in one message to you, not to your tax advisor's inbox. Monitoring is described under Operation and monitoring.

Process and price range

We start with a free 30-minute integration check in which we go through chart of accounts, payment methods and sales channels. Afterwards you receive a fixed-price offer within 3 working days. A simple connection between two systems starts at €1,900 net, and implementation usually takes 2 to 4 weeks. Details under Process and pricing.

Frequently asked questions

Can Shopware 6 export to DATEV without a plugin?

We did not find a DATEV export in standard Shopware. In the Shopware forum, plugins from the Shopware Store are recommended for the posting batch. The alternative is a custom integration.

Are PayPal and Klarna payments assigned to the right customer account?

That depends on whether the integration reads the payment providers' statements. We assign each payment to the order, and thereby the invoice, through the transaction ID. We post fees separately.

Does the tax advisor also get the invoice PDFs?

Yes, if the route goes through the Buchungsdatenservice or DATEV Unternehmen online. With a plain file, we deliver the PDFs as a package, with the same document number as in the batch.

What happens with a Shopware update?

We use only the official Admin API and make no changes to the Shopware core. In operation, we test new Shopware versions in a staging environment before your shop is switched over.

Can two sales channels go into different DATEV clients?

Yes. The integration separates by sales channel and writes a separate batch with its own accounts for each client.
