Zapier alternative: when a direct integration is better
Zapier, Make, n8n and Power Automate are good for simple workflows with low volume. A direct integration is the better alternative when many transactions occur, special logic is needed, data should stay in Germany or a target system such as DATEV is missing in the tool. Then you pay a fixed price instead of fees per task, and you own the code.
People who search for "Zapier alternative" often actually want something else: lower running costs, more control, or a connection the tool does not offer. This page puts the four best-known tools into perspective and shows when switching tools is enough and when a custom integration makes more sense.
What are Zapier, Make, n8n and Power Automate good for?
All four belong to the group of iPaaS tools: platforms on which you click together workflows between applications from building blocks. Each has its strengths.
Zapier
A very large number of ready-made app connections, more than 10,000 according to its own overview. Easy entry, even without technical knowledge. Good for small workflows such as "new form submission, new contact in the CRM".
Make
Visual editor for branching workflows with routers, filters and error paths. When you set up an organization, you can choose an EU data zone.
n8n
Can be run for free on your own servers as the Community Edition. The data stays with you, but you carry operation, updates and security yourself.
Power Automate
An obvious choice if your company already works with Microsoft 365. Strong for workflows around Outlook, Teams, SharePoint and Excel.
For many tasks one of these tools is the right choice. If a workflow has few steps, runs rarely and does not move accounting data, a custom integration is usually not worth it.
When is a direct integration better?
A direct integration connects system A with system B without a platform in between. It typically pays off in these cases:
- High volume: Hundreds of orders a day with several steps per order quickly use up many tasks or credits.
- Special logic: Credit notes, partial deliveries, discounts, differing tax rates. In a building-block tool, such workflows become hard to follow and hard to test.
- Missing connection: The target system has no ready-made app in the tool, such as DATEV in Zapier (see below), or the source system has no API at all.
- Accounting and tax: When postings arrive twice or not at all, it gets expensive. What counts here is protection against duplicates, logs and traceable error handling.
- Data protection: Customer data should be processed in Germany, with a data processing agreement (AVV) with a provider you know.
- Independence: The workflows should belong to you and not be tied to a subscription. More under vendor lock-in.
Cost logic: per task or fixed price?
The tools bill by usage, but each in its own way:
- Zapier counts tasks. A task is a successfully executed step of a workflow. According to Zapier, triggers, filters and some built-in tools do not count. The Professional plan starts at US$19.99 per month with annual billing for 750 tasks (as of 20 Oct 2026). If the allowance is exceeded, Zapier charges additional tasks at a higher rate or stops the workflows, depending on the setting.
- Make bills in credits. An executed module usually costs one credit, regardless of the amount of data. Some specialized modules cost more.
- n8n is available as a cloud service with paid plans and as a Community Edition for self-hosting. The Community Edition has no license cost, but you pay for the server and upkeep.
- Power Automate Premium costs US$15 per user per month with annual billing, according to Microsoft (as of 20 Oct 2026).
A direct integration at myInterface costs from €1,900 net one-time for a simple connection between two systems, and from €4,900 net for several systems. Operation is added from €149 per month. The costs do not rise with the number of transactions. Whether that pays off for you depends on volume. You will find the mental model for the three-year comparison in the guide What does an integration cost?
Data protection and hosting
With each of these tools, personal data passes through the provider. You therefore need a data processing agreement (AVV) and must know where the data is stored.
- Zapier stores data at Amazon Web Services in the US, according to its own security page. Zapier provides a Data Processing Addendum with standard contractual clauses.
- Make offers data zones in the US and in the EU. According to Make, an EU zone does not automatically mean that every request is processed in the EU, for example with certain additional features that run through third-party providers.
- n8n self-hosted stays on your server. You are then responsible for security and updates yourself.
By default our integrations run on our servers in Germany, or on your own if you prefer. We sign the AVV under the GDPR directly with you. There is no additional platform whose subprocessors you would have to review.
Can Zapier work with DATEV?
We did not find a ready-made DATEV app in Zapier. The page zapier.com/apps/datev did not exist on 20 Oct 2026. In the Zapier community, Zapier staff wrote in 2023 that DATEV had not yet built an integration, and pointed to webhooks.
A webhook alone does not solve the problem. For DATEV's online interfaces, an application must be registered according to the DATEV developer portal, go through a paid onboarding package and pass a review by DATEV before production use. In addition, the tax advisor must approve the matching data services for the client. A quickly built Zap does not replace these steps.
In practice, two routes remain: a file in DATEV format (EXTF) that the tax advisor or you import, or an application that uses the DATEV interfaces with approval. The guide DATEV API: access and routes into DATEV explains both routes. We build such connections as a DATEV integration.
Comparison: iPaaS tool or direct integration

|---|---|---|---|---|---|
| Billing | per task | per credit | server and upkeep | per user | fixed price plus operation |
| Getting started | very fast | fast | technical knowledge needed | fast in Microsoft 365 | 2 to 4 weeks |
| Data location | US (AWS) | US or EU zone | your server | Microsoft cloud | Germany |
| Special logic | limited | good in the editor | good, with code nodes | limited | any |
| Systems without an API | hardly | hardly | with effort | partly | yes |
| Who owns the workflow? | lives in the account | lives in the account | You | lives in the account | You (code) |
| Fits if | small workflows, many apps | branching workflows | in-house IT available | Microsoft environment | volume, special cases, DATEV |

Frequently asked questions
Is Zapier GDPR compliant?
Zapier refers to the GDPR and provides a Data Processing Addendum. According to Zapier, the data is stored in the US. Whether that is sufficient for your data is a question for your data protection officer.
Is there a Zapier connector for DATEV?
We did not find a ready-made DATEV app in Zapier (as of 20 Oct 2026). Workarounds via webhooks are possible, but they do not get around DATEV's access rules.
Is n8n a good Zapier alternative?
Yes, if you have in-house IT that can run and secure a server. Then the data stays with you. Without that capacity, you shift the cost from the subscription to your own working time.
What happens to my workflows if I cancel the tool?
Workflows in Zapier, Make or Power Automate only run in the respective service. After cancellation they have to be rebuilt. With a custom integration, you own the code.
Can I start with Zapier and switch later?
Yes. Many start with a tool and later have their most important workflows built as a direct integration when volume or special cases grow. The free 30-minute integration check helps with the decision.
